CareVerify

Prove every visit happened. Run payroll without the paper chase.

CareVerify is visit verification, scheduling and payroll export for home care agencies with 5 to 40 caregivers. Caregivers check in from an app that works with no signal. You see everything.

14 day trial. No card required. Pricing published below.

You know this Monday

Paper timesheets

They arrive late, folded into pockets, filled out from memory on Sunday night. By the time you spot a problem, the visit was four days ago and nobody remembers it clearly.

The payroll reconciliation

Somebody spends three hours cross-checking timesheets against the schedule, texting caregivers about gaps, and correcting math. Every single week, before anyone gets paid.

Visits you can't prove

A payer audits a claim, or a daughter calls asking whether anyone came Tuesday. A handwritten signature on a timesheet is not an answer either of them accepts.

How it works

  1. 1

    Schedule

Build each caregiver's week once. Repeat visits copy forward.

  2. 2

    Check in

One tap at the client's door. Fifteen seconds, works with no signal.

  3. 3

    Verify

Time and location are checked against the schedule automatically.

  4. 4

    Resolve

Late arrivals and missed visits land in one queue for a human decision.

  5. 5

    Export

Verified hours export as a payroll-ready file. No re-typing.

You may already have a free EVV system

If you bill Medicaid in Florida, the state gives you HHAeXchange at no cost. Many other states do the same with their own designated systems. The free portal records visits, submits claims and satisfies the federal EVV requirement. If someone told you that you must buy software to comply, they were selling something.

Use the free system for what it does well. What it doesn't do is run your day: the schedule that changes at 7 AM, the caregiver whose phone has no signal inside a client's house, the Monday reconciliation, the caregiver who wants to see her own hours without calling the office. That's the work CareVerify takes over, and the two run side by side.

An app caregivers actually use

Works with no signal

Plenty of client homes are dead zones. Check-ins record on the phone and sync when coverage returns, so the visit record is complete either way.

Never blocks a check-in

If GPS fails, the visit is still recorded and flagged for your review. An app that refuses a check-in teaches caregivers to stop using it within a week.

Fifteen seconds

One tap at the door, one at the end of the visit. Nobody stands in a hallway filling out a form on a phone.

Caregivers see their own hours

When people can check their verified hours any time, payday disputes mostly disappear, and so do the calls to your office asking about them.

Full pricing details and FAQ

Built for

Non-medical home care agencies with 5 to 40 caregivers. Private pay, Medicaid, or a mix. New agencies that want to start on something better than a spreadsheet, and established ones tired of running two systems and a group chat.

Not built for

Medicare-certified home health. If you need clinical documentation, OASIS assessments, or medication administration records, we are not your system. We would rather tell you that now than after you have imported your client list.

Common questions

Does CareVerify replace my state's EVV system?

No. If your state provides a free EVV portal for Medicaid claims, keep using it for claims. CareVerify runs alongside it and handles daily operations: scheduling, offline check-ins, exception review and payroll export. Many agencies run both.

What happens if a caregiver has no signal?

The check-in records on the phone with its time and location, then syncs when coverage returns. Caregivers are never blocked from checking in, and visits captured offline are marked so you can see they synced later.

How long does setup take?

Most agencies are running within an afternoon: add caregivers, add clients, build the first week's schedule. The 14 day trial clock starts at your first caregiver check-in, not at signup, so setup time never eats into your trial.

Do you handle payroll calculations?

No. CareVerify exports verified hours in a payroll-ready file. Your payroll provider or accountant calculates pay, overtime and taxes. We are deliberate about this boundary and we state it in our terms.

Is my data secure?

Data is encrypted in transit and at rest, every agency's records are isolated at the database layer, and every access to client records is logged. We sign business associate agreements. The security page describes all of it in plain language.

What happens to my records if I cancel?

You can export everything: visits, hours, schedules and the audit trail. Records stay available for export for a defined window after cancellation, spelled out in our data retention policy, because home care records carry multi-year obligations.
